Governors are seeking to appoint a well motivated, excellent, committed Receptionist.  The position is part time and to commence as soon as possible.

We are seeking:-

  • An excellent practitioner that has a real commitment to the efficient management of school procedures.
  • An organised person with excellent time management skills
  • A willingness to be fully involved in the life of the school
  • A willingness to undertake appropriate training
  • Main duties – under the direction/instruction of senior staff provide routine general clerical & administrative support to the school
  • Experience of using a SIMs system would be advantageous, but not essential

JOB DESCRIPTION 

Post Title:  Clerical Assistant 

Grade:                      Band C.  SCP 10 – 13 (£13,874 - £15,444 pro rata) 

Responsible to:        Senior Admin Officer 
 

Main Purpose 

Under the direction/instruction of senior staff and provide routine general clerical, administrative, financial support to the school. 

Duties and Responsibilities  

1. Organisation 

(i) Undertake reception duties, answering routine telephone and face to face

          enquiries, signing in visitors and organising refreshments

(ii) Assist with pupil first aid/welfare duties, looking after sick pupils, liaising  with parents/staff etc.

(iii) Assisting with arrangements for visits by school nurse, photographer etc.

(iv)     Register late arrivals to school 
 

2. Administration 

(i) Provide routine clerical support e.g. photocopying, filing, faxing,  emailing, complete routine forms.

(ii) Maintain manual and computerised records/management information  systems.

(iii) Undertake typing, word processing and other IT based tasks.

(iv) Sort and distribute mail.

(v) Undertake routine administration e.g. register/school meals. 

3. Resources 

(i) Operate office equipment e.g. photocopier, computer, fax machine.

(ii)      Accept deliveries and distribute accordingly.

(iii) Arrange orderly and secure storage of supplies.

(iv)     Maintain and monitor stock levels, cataloguing and distributing as 

          required

(v) Undertake routine financial administration e.g. collect and record    

          dinner, milk, book club, school uniform monies. 
 

4. Responsibilities 

(i) Be aware of and comply with policies and procedures relating to child  protection, health, safety and security, confidentiality and data  protection,

          reporting all concerns to an appropriate person.

(ii) Be aware of and support difference and ensure equal opportunities for  all.

(iii) Contribute to the overall ethos/work/aims of the school.

(iv) Appreciate and support the role of other professionals.

(v) Attend and participate in relevant meetings as required.

(vi) Participate in training and other learning activities and performance  development as required.  

5. Experience 

(i) General clerical/administrative work. 

6. Qualification/Training 

(i) Induction/basic skills.

(ii) Good numeracy/literacy skills. 

7. Knowledge/Skills 

(i) Appropriate knowledge of first aid.

(ii) Good understanding and ability to use relevant technology e.g.  photocopier.

(iii) Keyboard/computer skills

(iv) Participate in development and training opportunities.

(v) Work constructively as part of a team, understanding school roles and  responsibilities and your own position within these.
